Key Responsibilities
The Admission Incharge is the primary point of contact for prospective students and their families, managing the entire admissions cycle from initial inquiry to final enrollment.
1. Admissions Process Management:
- Lead the Admission Cycle: Oversee the complete end-to-end admission process, including releasing admission forms, setting deadlines, and managing acceptance/rejection letters.
- Policy Implementation: Ensure all admissions processes are conducted strictly according to school policies and standards.
- Documentation & Screening: Review, process, and evaluate application forms and supporting documents for eligibility and completeness.
- Testing & Interviews: Coordinate the scheduling and execution of admission tests, student interactions, and parent interviews with the relevant academic and leadership staff.
2. Communication and Stakeholder Relations:
- Inquiry Management: Professionally attend to all admission inquiries via phone, email, and in-person meetings, providing accurate information about the school’s programs, fees, and procedures.
- School Promotion: Conduct school tours, organize and lead open houses, information sessions, and other promotional events to attract prospective students.
- Parent Liaison: Maintain a strong, positive communication link with prospective and newly admitted parents throughout the process.
3. Data Management and Administration:
- Record Keeping: Maintain a complete, accurate, and confidential database/MIS system of all prospective students, applications, and enrollment statistics.
- Reporting: Generate regular reports on admission status, enrollment numbers, and application trends for the Principal/Senior Leadership Team.
- Material Preparation: Coordinate the preparation and updating of admission-related materials, such as the school prospectus, brochures, and application forms.
- Liaison: Coordinate closely with the Accounts Department for fee collection and the Head of Administration/Academic Departments for new student onboarding.
Qualifications and Skills
Required:
- Bachelor’s degree in any field (a degree in Marketing, Communications, or Education is a plus).
- Minimum of 3-5 years of experience in an administrative, coordination, or customer-facing role, preferably in the education sector.
- Exceptional communication and interpersonal skills (both verbal and written English).
- Strong organizational skills with meticulous attention to detail and ability to manage high-volume paperwork/data.
- Proficiency in Microsoft Office Suite (Word, Excel) and experience with a School Management System (SMS) or CRM software.
Preferred:
- Proven experience in managing a school’s admission cycle.
- Ability to work independently, manage stress, and meet strict deadlines during peak admission season.
